Event Manager – Global Ties US (Washington, D.C.)

Company: Global Ties US
Title: Event Manager
Salary: TBD, Full-time
Location: Washington, D.C.

Global Ties U.S. runs multiple in-person and virtual events and trainings per year, accommodating between 25 to over 1,000 attendees from across the country. The position of Events Manager is responsible for working with the Director of External Affairs and team members across the organization to oversee the full lifecycle of an event, including all communications and marketing, operations, and logistics. This includes, but is not limited to, the Global Ties U.S. annual meeting, workshops, regional summits, webinars, and other special events and activities for Global Ties U.S. that are designed to increase the capacity of member organizations, promote networking and professional development, and raise awareness for the importance of public diplomacy and international exchange programming.

Reports to: Director, External Affairs
FLSA Status: Exempt 
Location: Washington, DC

ESSENTIAL FUNCTIONS AND DUTIES

EVENT & MEETING COORDINATION

  • Identify, recommend, and secure potential platforms or venues
  • Coordinate development and production of collateral (ie., signage, credentials, etc.), as appropriate
  • Manage event registrations and track sponsorships, as appropriate
  • Drive and execute a run-of-show
  • Supervise interns or junior staff (or volunteer or temporary staff) assisting with event and meeting logistics

EVENT & MEETING COMMUNICATIONS

  • Create and advance holistic communications strategies for events, as appropriate
  • Develop and deploy promotional language on the website and in email campaigns
  • Manage and oversee Global Ties U.S. event websites
  • Develop event surveys, analyze and socialize post-event data

VENDOR RELATIONS

  • Work closely with Operations team in drafting, soliciting, reviewing proposals, and finalizing contracts for venues and vendors critical to various events
  • Serve as the primary point of contact for vendors, contractors, and venues working on projects in area of responsibility

SPECIAL RESPONSIBILITIES REQUIRED

  • May be required to attend meetings outside of the office and work outside normal working hours
  • May attend various conferences
  • Manages Events Intern
  • Other event, communications, and marketing-responsibilities as assigned

DESIRED SKILLS & ABILITIES

  • Experience directly overseeing, managing, and coordinating virtual and in-person events of all sizes with multiple stakeholders and audiences
  • Experience directly developing and implementing communications and / or marketing campaigns
  • Experience managing and coordinating staff, volunteers, vendors, and others contributing to the execution of large events
  • Ability to think strategically while also focusing on and executing details
  • Experience working cross-functionally
  • Ability to set priorities when multiple demands are present
  • Great “can-do” attitude with a desire to innovate and implement
  • Professional demeanor, “client services mindset,” and diplomatic skills

REQUIRED SKILLS & QUALIFICATIONS

  • At least five years of event management and coordination and / or communications and marketing experience
  • Bachelor’s degree
  • Interest in international affairs / relations preferred
  • Experience with CVENT, Canva, HTML, Salesforce, Zoom and / or GoToWebinar (or other virtual events platforms), Survey Gizmo (or other survey platform)
  • Experience with U.S. government contracts or cooperative agreements (CMP or CGMP certification preferred)
  • Some prior supervisory experience
  • Strong interpersonal skills and demonstrated attention to detail
  • Strong oral and written communications skills
  • Strong project management and organizational skills
